Billing - Transparent and Fair

At Botimum, we value transparency—especially when it comes to billing. Here’s everything you need to know about how our billing works.

Pay Only for Active Workflow Participants

When you subscribe to a Botimum plan, you only pay for active participants in recurring workflows.

What Does This Mean in Practice?

  • If you have a team of 100 members…
  • …but only 15 of them actively participate in workflows…
  • …you’ll only pay for those 15 members.

Refund for Inactive Participants

If a participant is removed from all workflows, unused funds will be credited back to your account. You’ll never lose money on inactive participants!

Who Counts as an ‘Active’ Participant?

A participant is considered active if they:

  • Participate in a workflow (e.g., check-ins/outs, stand-ups, or recurring polls).

However, a person is not considered active if they only:

  • Manage a workflow.
  • View workflow reports.
  • Access the Botimum dashboard.
  • Participate in a one-shot poll.

Billing for Active Participants

  • One charge per billing cycle: No matter how many workflows a participant engages in, they are billed only once per cycle.

Adding a New Member Mid-Cycle

Botimum ensures fair billing for new members added during a cycle by pro-rating the charges.

Example:

  • Monthly cost per participant: $1.50
  • Days in the month: 30
  • Days remaining in the cycle: 20

Your charge for the new participant will be: $1.5 ÷ 30 × 20 = $1.

What If I Pay Annually?

For annual billing, we keep things just as straightforward:

  • Additional participants added during the year are covered by existing credits.
  • If credits run out before the end of the cycle, you’ll be charged for the remaining time based on the new participant count.

Note: Botimum will always notify you 7 days before any extra charges are applied.
